The Grant Agreement for Participants is an essential document for the Erasmus programme. This agreement is signed between the student and CZU and it defines the conditions for studying at a higher education institution abroad.
TheGrant Agreement for Participants contains details on the duration of your stay, the amount of financial support, insurance, documentation and other important information regarding your stay abroad. The agreement also contains the terms and conditions for the financial commitment between the student and the higher education institution, which will help the student to fund his/her stay abroad.
By signing the Grant Agreement for Participants, the student agrees to comply with the stay abroad conditions and to use the stay for the planned studies. The higher education institution, in return, commits to supporting the student during his/her stay abroad.
The Grant Agreement for Participants is therefore a key document for students wishing to study at a university abroad within the Erasmus programme. It ensures clear and transparent communication between the student and the higher education institution.
What is required for signing?
- Having the mobility registered in the UIS. Button "Checklists" will appear in your Student's Portal in section My placements abroad
- Proof of insurance. More information ZDE.
- Confirmation of acceptance issued by your receiving institution. It can be in the form of
- Letter of Acceptance
or - signed Online Learning Agreeement
- Letter of Acceptance
- Bank account. More information can be found below.
If the above conditions are met, coordinators from the central International Relations Office will grant you access to the Participation Agreement in the UIS (or send it to you by e-mail).
Bank account for Erasmus scholarship
Payment of the Erasmus scholarship is made in euros. Therefore, we strongly recommend that you open a bank account in euro currency. If we transfer the scholarship to your bank account in Czech crowns, it is likely that the exchange rate will not be as favourable and you will "lose" part of the scholarship. You can open a euro account with any bank or even, for example, with Revolut. In the case of Revolut, you need to know the IBAN of your account.
The bank account must be registered in the UIS in the following way:
- Login to the UIS system
- In section „My Colleger“ click on "Student's portal" option
- At the very bottom of the page is the "My placements abroad" section
- In this section, click on "Bank account number for study placements" icon
- Specify the purpose of the bank connection as "for trip abroad benefit pay-outs"
- Bank country: Czech Republic (in case of Revolut it is Lithuania)
- Specify the bank name, currency and account number (in case of Revolut, specify IBAN)
- Validity of bank account - either do not specify or fill in the start of validity one month before the beginning of your Erasmus and the end of validity one month after the end of your Erasmus.
How can the Grant Agreement for Participants be signed?
- In person at the central International Relations Office.
- On behalf of the authorised person. A power of attorney must be certified by a notary. Certification can be done, for example, on CzechPoint.
- By a certified electronic signature that meets the eIDAS criteria. In this case, the contract can be sent by e-mail to outgoing@czu.cz.
The Grant Agreement for Participants must always be signed before your departure !
Scholarship payment
The payment of the scholarship will always take place before the start of your stay abroad. Only if you do not submit the necessary documents on time, the scholarship will be paid after all documents have been submitted.
The first installment of the scholarship is 70% to 100% of the total amount and is transferred before the start of the stay abroad. The second installment, if applicable, is made after the completion of the stay and after the submission of the Certificate of Duration of Study. The second instalment will make up 100% of the scholarship paid, including any changes due to shortening/extending the stay.
The coordinators will upload a scan of the fully signed Grant Agreement of Participants to the UIS checklist (Student's portal ->My placements abroad)

The sample is in the version for the 2021 and 2022 calls. In the 2023 call there may be minor changes to the formulation. The template for the 2023 call will be available at a later stage.
