The translation must be done by a certified translator appointed by the Ministry of Justice (in English language case – a SWORN translator carrying the relevant stamp).
The translation must include a certified/verified copy of the translated document and both (certified copy + translation) MUST be sealed together (= firmly attached together) by the translator to avoid any changes or replacement of the lists.
The translator must use a certified sticker and stamp to guarantee the requirement above. The simple stapler IS NOT acceptable. The applicant MUST NOT separate any pages after that. In case of any doubts by the committee, the document will be rejected.
Translations attached to unauthenticated copies (such as scans, simple copies, etc.) of documents WILL NOT be accepted.
List of Czech experts and interpreters
Coloured or black and white simple copies are NOT accepted.
The documents MUST be copied by the notary and verified by the notary afterwards (by a stamp and signature). It must be clear for us that the notary performed the verification. The document must carry a his stamp and his signature (official signatures are made by a BLUE pen only, NOT black or any other colour).
Keep in mind – IF one page document, BOTH pages MUST be verified accordingly.
- If one page document – every page something is written on MUST be notarized = the documents MUST be notarized from both sides (front and back must have the notary stamp)
- If multiple page document – ALL sheets MUST be sealed together inseparably. The notary must use his relevant seal/sticker and stamp (NOT a stapler) to acertain the documents belong together. The applicant thereafter MUST NOT separate the lists in any case. Documents attached to a simple stapler are not accepted.
If the details are on separate pages – ALL pages MUST include the relevant authentication (e.g. if there are more separate lists of transcript – ALL lists must have the relevant verification and containt the details of the applicant!!!)
Documents received by any institution that are attached together by an official seal/sticker/stamp (either from the educational institution, Czech Embassy, Ministry of Foreign Affairs, etc,) MUST stay unattached. Nobody (not the applicant, not the notary is allowed to separate the pages).
The notary must do a duplicate of the document (the document must be exactly the copy of the original – the sheets cannot be exchanged, left out, etc.). The pages must be sealed by the notary. The notary CANNOT verify a sheet after a sheet and leave them separated as the important detail can be only on one page which makes the rest of pages unauthenticated and not acceptable. (e.g.: If somebody unseals the superlegalized document, the document looses its authentication!).
Same issue goes with the name, date of birth or other relevant details – if the details stays only on the front page of the set of sealed documents, the documents must stay attached together. A separate document missing a name and other details cannot be accepted.
The incorrect/incomplete name on documents are not acceptable.
According to the Czech law and customs we do not ACCEPT abbreviations, typos or alternations on the documents. The names must be completely the same as on the passport/birth certificate, your UIS system and your documents.
In this case the notarized statutory declaration/affidavit is required stating that you are the person that is mentioned on the documents.
- Since your documents (diploma/transcript, etc. ) do not contain full name we need notarized statement, that you gained the document under the name on the documents and your full name is “….” as on the passport or birth certificate attached to the declaration.
If you change your name, you need to provide proof of the name change (usually marriage certificate applies – the certificate MUST be officially verified).
- Bachelor applicants
If you finished your high school earlier and continued for a specialization/college, etc. You must submit the latest education that allows you for Bachelor studies + the last year of your High school.
Example:
If you finished for instance 9th grade and continued for a vocational study/diploma, etc. We need relevant authorisation of the documents of vocational studies/diploma + transcript. However, we also need transcript from the 9th grade – verified copy is suitable for the additional document. - Master and PhD applicants
It can happen that some of the semesters or even years have been recognized from the previous study and you are allowed to receive your Bachelor/Master diploma in a shorter period of timeHowever, we need to have an evidence, why you were exempt some semesters or years of your study towards your degree. Generally speaking, we need to see the whole educational path towards the degree. Thus, you need also submit the previous certificate/diploma/courses taken/different university with recognized subjects, etc. including the transcripts. These additional documents can only be cerified copies (no other authentication is required, if not specified by us).
Examples:
Starting from second semester must be explained, studying less that the general length is must be substantiated. The usual reason is passing a polytech diploma, assosiated diploma, college, vocational course, passing subjects on different university and having the subjects recognized by a new university, etc.
In those and similar cases you are expected to submit also the certificate/degree/diploma and the whole transcript.
